Docklands Carpet Cleaners Terms and Conditions

Cleaning technician preparing carpet cleaning equipment before a booked serviceThese Terms and Conditions set out the basis on which Docklands Carpet Cleaners provides domestic and commercial cleaning services to customers in the United Kingdom. By making a booking, confirming an appointment, or allowing our operatives to carry out work, you agree to be bound by these terms. The purpose of this document is to create a clear understanding of the service arrangement, the responsibilities of each party, and the standards that apply before, during, and after a carpet cleaning appointment. These terms should be read together with any written quotation, invoice, booking confirmation, or service description provided in relation to a specific job.

In these terms, references to “we”, “us”, and “our” mean Docklands Carpet Cleaners, and references to “you” and “your” mean the customer who requests or receives the service. The words carpet cleaning, upholstery cleaning, and related cleaning services may be used broadly to describe the work requested, depending on the nature of the appointment. If any part of these terms is found to be unenforceable, the remaining provisions will continue in full force and effect. Nothing in these terms affects your statutory rights as a consumer under applicable UK law.

Carpet cleaning appointment confirmation and service planning materialsWe may update these terms from time to time to reflect changes in our business practices, legal obligations, or service requirements. The version in force at the time of your booking will normally apply to that appointment unless a change is required by law. Any variation agreed between us and you should be confirmed in writing where possible. Please read these terms carefully before confirming a booking for carpet cleaners services.

1. Booking Process

Bookings may be made by agreement through our usual communication channels and are subject to availability, site suitability, and acceptance by us. A booking is not confirmed until we have reviewed the job details and, where applicable, issued an appointment confirmation, quotation, or other written acknowledgement. We may ask for information about the property, the type and condition of the flooring or fabric, access arrangements, parking limitations, water supply, electrical access, and any known stains, damage, or treatment history. Accurate information helps us prepare the correct equipment and allocate suitable time for the visit.

When you request a service, you must ensure that all material information is truthful and complete. If the size of the area, the level of soiling, or the nature of the items to be cleaned differs from the information given at booking, we may need to amend the price, the scope of work, or the time needed to complete the service. Docklands carpet cleaners may refuse or postpone work if the environment is unsafe, if access is insufficient, or if the service requested cannot reasonably be delivered with the equipment available. We reserve the right to decline work that is outside our expertise or that would present an unreasonable risk to property, people, or staff.

Any times or dates provided are estimates unless we have expressly agreed otherwise. While we will make reasonable efforts to attend as scheduled, delays may occur due to traffic, weather, operational issues, or circumstances beyond our control. A booking confirmation does not guarantee that a specific technician will attend, although we will always aim to deliver the service to the standard described. If an appointment requires rescheduling due to our own operational reasons, we will make reasonable efforts to offer an alternative date and time.

2. Scope of Service and Customer Responsibilities

Our service may include vacuuming, pre-treatment, stain treatment, hot water extraction, low-moisture cleaning, upholstery cleaning, or other methods suitable to the fabric, fibre, or surface being treated. The exact method used will depend on the condition and composition of the material, as well as the outcome sought and the recommendations of our staff. We will exercise reasonable skill and care in carrying out the work, but cleaning results can vary depending on age, wear, past maintenance, and the nature of any staining or contamination.

You are responsible for moving or securing fragile items, valuables, electronics, ornaments, and other loose belongings before the appointment unless we have expressly agreed to assist. We may move light furniture at our discretion, but we are not obliged to move heavy, fixed, built-in, or difficult-to-handle items. Any items moved by us may be returned to a reasonably similar position, but we cannot guarantee exact placement. Please ensure that floors are reasonably accessible and that the working area is free from hazards, pets, and unnecessary obstructions.

You must tell us about any pre-existing damage, weak seams, loose tiles, unstable furniture, colour loss, water sensitivity, odours, mould, or prior chemical treatment. Carpet cleaners Docklands may decline to clean an item if doing so could cause further damage due to its condition or composition. We are not responsible for wear, deterioration, or defects that are already present or that become apparent during the course of a normal cleaning process. If you ask us to proceed against our advice, you do so at your own risk, subject always to your legal rights.

3. Payments, Prices, and Invoices

Prices are usually based on the information available at the time of booking and may be quoted as fixed prices, estimates, hourly rates, or area-based charges, depending on the nature of the service. Unless otherwise stated, any quotation is valid for a limited period and may be revised if the work changes materially or if site conditions differ from those described. Additional charges may apply where extra time, specialist products, stain removal treatment, or access difficulties are required to complete the service properly.

Payment terms will be confirmed at booking or on the invoice. We may require payment before the work begins, immediately on completion, or within a stated period after invoicing, depending on the service arrangement. Accepted payment methods may vary from time to time. Where payment is due on completion, you must ensure that a person authorised to make payment is available. Failure to pay in accordance with the agreed terms may result in late fees, recovery action, or suspension of further services, to the extent permitted by law.

Any dispute relating to an invoice must be raised promptly and in good faith. You may not withhold payment for undisputed amounts simply because you are dissatisfied with a separate issue unless you have a valid legal basis to do so. If a pricing error is discovered, we may correct it and issue an amended invoice. For business customers, any agreed prices may be subject to VAT or other taxes where applicable. Docklands carpet cleaners may require a deposit for certain bookings, specialist jobs, or larger appointments.

4. Cancellations, Postponements, and Access Failures

If you need to cancel or postpone your appointment, you should notify us as soon as reasonably possible. The amount of notice required, and any cancellation charge, may depend on the type of booking, the resources allocated, and whether we have already incurred costs in preparation for the visit. Where a deposit has been paid, it may be non-refundable in whole or in part if cancellation occurs after we have reserved time and equipment specifically for your appointment. Any applicable charge will be reasonable and proportionate to the losses we incur.

If we arrive at the agreed time and are unable to begin or complete the work because of lack of access, incorrect information, unsafe conditions, or the absence of an adult authorised to approve the service, we may treat the appointment as cancelled by you. In such circumstances, a call-out fee, abortive visit charge, or part-payment for lost time may apply. Carpet cleaning by Docklands Carpet Cleaners depends on proper access, working utilities where needed, and a safe environment for our team. We are not responsible for delays caused by factors outside our control, including restrictions placed by building management or third parties.

We may cancel or reschedule an appointment if circumstances arise that make performance impractical, unsafe, or impossible, including illness, equipment failure, extreme weather, legal restrictions, or emergencies. Where this happens, we will aim to give reasonable notice and offer another appointment if possible. Our liability for cancellation will be limited to the refund of any prepaid amount for the affected service, unless otherwise required by law.

5. Liability, Damage, and Limitations

We will carry out our work with reasonable care and skill. If damage is caused by our proven negligence, we will assess the matter fairly and may offer repair, re-cleaning, replacement, or compensation, depending on the circumstances and subject to the limits in these terms. You must notify us of any alleged damage or issue as soon as reasonably practicable after the appointment and, where possible, before the area is disturbed, cleaned again, or altered by another contractor.

We are not liable for indirect, incidental, or consequential losses, including loss of profits, business interruption, missed rental income, inconvenience, or emotional distress, except where such exclusion is not permitted by law. We are also not liable for damage resulting from pre-existing defects, hidden weaknesses, ordinary wear and tear, unsuitable materials, incorrect information provided by you, or failure to follow our aftercare advice. In particular, delicate fabrics, aged fibres, and previously damaged carpets may be more vulnerable to cleaning processes.

Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot legally be limited or excluded. Where liability is established, our total liability for any single claim shall be limited to the amount paid or payable for the specific service giving rise to the claim, unless a different limit is required by applicable law. This limitation reflects the commercial nature of professional cleaning services and the need to manage risk fairly.

6. Waste Regulations, Chemicals, and Environmental Compliance

Carpet cleaning service documentation with compliance and payment detailsWe operate in accordance with relevant UK waste and environmental obligations. During the course of our work, dirty water, removed debris, used cloths, and other waste generated by the cleaning process will be handled in a lawful and responsible manner. We will not knowingly dispose of waste in a way that causes pollution, contravenes local rules, or breaches applicable regulations. Where specialist disposal is required, additional charges may apply if this has been discussed and agreed in advance.

Customers must not ask us to dispose of hazardous waste, prohibited substances, or materials that require licensed handling unless we have expressly agreed to do so and have the relevant arrangements in place. This includes, without limitation, chemical residues, bodily fluids beyond ordinary cleaning scope, needles, sharps, asbestos-related material, or other dangerous contamination. If we identify a substance or condition that may require specialist treatment or separate disposal, we may suspend the service until suitable arrangements are made.

Our staff may use cleaning agents, stain treatments, and protective products suitable for the work required. While we aim to select products that are effective and appropriate, some materials may react unpredictably. You should inform us of allergies, sensitivities, or environmental preferences before the appointment. We may request that pets and children remain away from treated areas until they are safe to use. Any instructions we give regarding drying times, ventilation, or waste handling should be followed carefully.

7. Claims, Complaints, and Aftercare

If you are unhappy with the service, you should notify us within a reasonable time after completion and before arranging any third-party repair or additional cleaning. We may ask for photographs, a description of the issue, and the opportunity to inspect the area. This allows us to determine whether the matter is due to workmanship, product reaction, site conditions, or a pre-existing problem. Where appropriate, we may return to inspect or rectify the issue at our discretion.

Reasonable aftercare is important to preserve results and reduce the risk of re-soiling or fibre distortion. You should follow any drying instructions, avoid placing heavy furniture back too soon, and refrain from walking on damp areas where possible. We are not responsible for deterioration caused by misuse, premature use of the cleaned area, failure to ventilate, spillages after completion, or attempts by others to treat the same area after our visit. Our recommendation is that you keep any proof of booking, invoice, and photos until you are satisfied the work has settled properly.

Docklands Carpet Cleaners may refuse a claim if we are not given a reasonable opportunity to investigate or remedy the issue, or if the problem arises from factors outside our control. Any goodwill gesture made by us will not constitute an admission of liability. These terms are intended to support fair handling of concerns while recognising the practical limitations of professional cleaning services.

8. Governing Law and General Provisions

These Terms and Conditions, and any dispute or claim arising out of or in connection with them, shall be governed by and interpreted in accordance with the laws of England and Wales. If you are a consumer resident elsewhere in the UK, any mandatory protections available under your local law will remain applicable where required. The courts of England and Wales shall have jurisdiction over any dispute, subject to any rights you may have under applicable consumer legislation.

If any provision of these terms is held invalid, unlawful, or unenforceable, that provision shall be deemed modified to the minimum extent necessary or, if necessary, severed, and the remainder shall continue in effect. No failure or delay by us in exercising any right shall operate as a waiver of that right. Any waiver must be in writing to be effective. These terms represent the entire agreement between us and you in relation to the service, unless supplemented by a separate written agreement signed or accepted by both parties.

Cleaning team handling a scheduled appointment and access arrangementsThese terms are designed to provide a clear and fair framework for the services supplied by Docklands Carpet Cleaners. By proceeding with a booking, you confirm that you have read, understood, and agreed to them.
